Payroll Settings by Region - Region Based Payroll Settings

Overview

Region Settings allow payroll configurations to be created for specific Regions within an organization.

This feature is designed for companies that operate across multiple Regions and require different payroll structures depending on where employees are assigned.

Instead of maintaining individual payroll configurations for each employee, myGroundForce offers the ability to configure payroll rules at the Region level and allow employees assigned to that Region to share specific settings.

Accessing Payroll Settings by Region

To configure payroll settings for a Region:

  1. Open Payroll Settings by Region.
  2. Select the Region you want to configure, or create one at "add".
  3. Access the Payroll Settings section.




The Region Payroll Settings screen follows the same structure used for Entity Payroll Settings, providing a familiar configuration experience.

How Region Payroll Settings Work

Region Payroll Settings define the payroll rules that apply to employees assigned to a specific Region.

When an employee is configured to use Payroll According to Regions, the employee will automatically use the payroll settings defined for their assigned Region.

This allows organizations to maintain different payroll structures for different operational areas while keeping payroll configuration centralized and consistent.

For an employee to use Region Based Payroll, the employee must be assigned to a Location that is associated with the same Region configured for payroll other than the region "Not Associated", which is the default region when no user-create Region exists in myGroundForce - to learn more about creating Regions in myGroundForce, visit this help article: https://mygroundforce.zohodesk.com/portal/en/kb/articles/region-s-feature

The employee's Location determines the Region relationship used for payroll configuration. Only employees whose Location matches the Region configured with Payroll Settings can use the Region as their payroll settings.

To ensure Region Based Payroll is applied correctly:

  1. Confirm that the employee is assigned to the correct Location.
  2. Verify that the Location belongs to the intended Region.
  3. Ensure the employee is configured to use Payroll According to Regions inside the Employee Registry, Payroll Settings tab for that employee.

If the employee's Location does not match the Region configuration, the Region Payroll Settings will not be applied for that employee.

Payroll Configuration foLinehaul and P&D

The available Region Payroll Settings depend on the type of operation: Linehaul or P&D.

Linehaul Region Payroll Settings

For Linehaul companies, Region Settings may include the following payroll settings:

  1. Hourly / Weekly Salary Pay
  2. Linehaul Payment Rules
  3. Shuttle Payment Rules
  4. Spot Payment Rules
  5. Guaranteed Minimum
  6. Drop & Hook (D&H) Percentage
  7. Weekend Incentive

P&D Region Payroll Settings

For P&D companies, Region Settings may include three compensation groups:

  • Base Compensation
  • Per Stop Compensation
  • Per Package Compensation

Base Compensation

The Base Compensation section may include:

  1. Hourly / Weekly Salary Pay
  2. Guaranteed Minimum
  3. Daily Rate

Per Stop Compensation

The Per Stop Compensation section may include:

  1. Pickup — Per Stop
  2. Delivery — Per Stop
  3. Ecommerce — Per Stop

Per Package Compensation

The Per Package Compensation section may include:

  1. Pickup — Per Package
  2. Delivery — Per Package
  3. Ecommerce — Per Package

Benefits of Region Based Payroll

Region Based Payroll helps organizations:

  • Maintain consistent payroll rules for employees working in the same Region.
  • Reduce manual employee-level payroll configuration.
  • Support different payroll structures across multiple operational areas.
  • Ensure payroll calculations align with regional business requirements.

Notes

  • Region Payroll Settings follow the same configuration structure used for Entity Payroll Settings.
  • Employees must be configured to use Payroll According to Regions to apply Region-based payroll rules.
  • Organizations can continue using existing Entity or Employee payroll configurations when Region-based payroll is not required.
  • If an employee is assigned to a region and has the Payroll According to Regions setting selected on the Payroll Settings tab of the Employee Registry, but no payroll settings have been configured for that region, the employee will appear as Pending Payroll on the Payroll Report tab once payroll is generated using this setting.
