What information is needed to get started after I subscribed to mygroundforce?

After you have completed your subscription to mygroundforce, we will need the following information to be able to proceed with the data loading (onboarding) into the system for you.

For the Excel Templates, if you have the information we asked you for in other formats on your computer, you can send it to us and we will convert it to the format needed and import it to the system.
 
  1. Master Admin

Please inform the following so we can create the user which will be the owner that will have access to all your entities: 
    • Username: (we will provide you with a suggestion, feel free to change it).
    • First Name: (we will provide you with a suggestion, feel free to change it).
    • Last Name: (we will provide you with a suggestion, feel free to change it).
    • Email: (we will need you to confirm this information).
    • Mobile: (we will need you to confirm this information).

After having all your information we requested you in the system, we will send you an e-mail with your login credentials - the onboarding process can take up to two business days or more according to the time it takes you to send us your data.  

In case you work with more than one entity with FedEx, please provide separate e-mail answers to each of the entities. 
  
  1. Organization

Please provide a name and e-mail for your organization (account), which will be the name each entity will appear under. The organization e-mail will be the Cc ("Carbon copy") e-mail on each of the company’s messages. 
  • Organization Name: (we will provide you with a suggestion, feel free to change it).
  • Organization E-mail:  (we will provide you with a suggestion, feel free to change it).

  1. Entity

Please provide the four data fields below for the entity you operate with FedEx: 
  • Entity ID: V-000000 (we will need you to confirm this information).
  • Entity Name: (we will need you to confirm this information).
  • E-mail: (we will need you to confirm this information).
  • Mobile Number: (we will need you to confirm this information).

  1. FedEx Ground Linehaul Settlement

If you wish to have mygroundforce automatically upload settlement data, please provide the username and password to each of your FedEx mygroundbiz accounts, otherwise, you will have to upload the CSV and PDF files for each of the last 8 week-endings of settlements to mygroundforce, as well as for the following settlements so that we can upload this information to mygroundforce for you.

  1. Profiles

Existing profiles (system default): 
  • Business Contact; 
  • Driver; 
  • Maintenance; 
  • Office Support; 
  • Owner; 
    • If you need any other profile to be added, please inform for each of the profiles: 
      • Profile name; 
      • Permissions (View / Create / Edit / Delete) for each feature (for more details on feature visit: mygroundforce Academy); 
  1.  Users 
For each additional user, please inform: 
      • Username; 
      • First Name; 
      • Last Name; 
      • E-mail Address; 
      • Mobile Phone; 
      • User Profile; 
      • User Entity; 
      • Company to access; 
      • Contract ID to access; 
  1. Employee Categories - Existing categories (system default): 
  • Administrative Officer; 
  • Business Contact; 
  • Driver; 
  • Maintenance; 
  • Maintenance/CDL; 
  • Office Support; 
  • Owner; 
    • If you need any other category to be added, please inform: 
  • Category Name; 
  • Category Type: 
      1. FXG LH Driver: Yes or No?  (Yes - in case this employee drives FedEx trips in your company).
      2. DOT Compliance: Yes or No? (Yes - in case you would like to track DOT compliance information).
      3. Non-Driver: Yes or No? (Yes - in case none of the above apply).
  1. Employees - Please complete the attached template: “Employee_Import_Template.xlsx”; 
  1. Vehicle Categories - Existing categories (system default): 
  • Service Vehicle; 
  • Straight Truck; 
  • Tractor; 
  • Van; 
    • If you need any other category to be added, please inform: 
      • Category Name; 
  1. Vehicles - Please complete the attached template: “Vehicle_Import_Template.xlsx”
  1. Customer Stations - Please complete the attached template: “Customer_Station_Import_Template.xlsx”. This customer station registry will be used to plan your drivers' schedules and set up flat-rate payroll.
  2. Payroll - Since payroll greatly varies across companies and mygroundforce has enough flexibility to adapt to them, we provide you with the instructions for each of the features on the youtube video below so that you can set up payroll for your organization. Note: the information requested above are only those that are mandatory in the system to enable mygroundforce automation and workflows.
