Managing Expense Categories for Dashboard and Report Calculations

myGroundForce provides granular control over how your expense categories contribute to key dashboard metrics and reports, particularly those related to fuel and DEF analysis. This feature ensures that your financial reporting accurately reflects the costs you intend to include in specific calculations.

1. Configuring Expense Categories for Fuel & DEF Calculations

Within the Expense Categories section, you can designate which categories are considered for fuel and DEF-related calculations across your dashboards and reports.
How to Configure:
Navigate to your Expense Categories.
When creating or editing an expense category, you will find a checkbox:
Label: "Use this category for Fuel & DEF calculations"


  1. Purpose: Checking this box marks the expense category as a potential contributor to various fuel and DEF-related calculations across the system. If unchecked, the category's expenses are not included in these specific calculations.

2. Centralized Calculation Management: Dashboards/Reports Expenses

myGroundForce includes a dedicated screen where you can manage which expense categories are included or excluded from the calculations of specific dashboards and reports.

Accessing the Screen:

  • This screen is labeled "Dashboards/Reports Expenses Calculation" and is accessible within your myGroundForce menu


How to Use:

  1. Upon entering the "Dashboards/Reports Expenses Calculation" screen, you will see a list of dashboards and reports that utilize expense categories for their calculations. These include:

    Dashboards:

    • Tractor Fuel Miles Per Gallon

    • Tractor Fuel Miles Per Gallon By Week Ending

    • Fuel Cost Per Mile

    • Fuel Surcharge x Total Cost of Fuel

    • Profitability by Tractor ($)

    • Fuel Profitability

    • Net Revenue X Mile

    • DEF Analysis

    Reports:

    • Fuel Usage By Tractor Report

    • Fuel Purchase By State

    • Fuel Gallons By State Report

  2. Editing Calculation Scope:

    • To customize the expense categories for a specific dashboard or report, select its Edit option on this screen.

    • You will then see a list of all Expense Categories that currently have the "Use this category for Fuel & DEF calculations" checkbox enabled.

    • From this list, you can manually uncheck or remove specific categories if you do not want their expenses to contribute to the calculation of that particular dashboard or report.

    • Save your changes to apply the updated calculation scope.


This granular control ensures that your dashboard metrics and reports provide the most accurate and relevant insights based on the specific expense categories you choose to include for each calculation.
